Your data, protected by design

Who we are

DocuHome (“we”, “us”, “our”) provides web and mobile apps for organising property information, documents, photos, and maintenance tasks. We act as a controller for customer account data and a processor for content you upload, in line with applicable data protection laws (including GDPR).

Data we collect

• Account data: name, email, organisation, role.
• Property content: documents, photos, notes, tasks, collaborators, and metadata you add.
• Usage & device data: app interactions, device type, OS, crash/diagnostic logs.
• Plan data: plan preferences and feature access flags (no payment data is collected today).

How we use data

• Deliver and improve DocuHome features (document storage, reminders, AI summaries).
• Authenticate users, secure accounts, and prevent abuse.
• Provide support, notify you about updates, and meet legal obligations.
• Generate anonymised insights to improve reliability and performance.

AI features

AI-driven features (e.g., document summaries and suggested actions) operate on the content you upload. Outputs are not used to train external models, and we limit retention to provide the requested feature and maintain service quality.

Public property previews

When you request a public preview, we use your selected address to find available official sales and energy-performance records. Previews have public, shareable links. They do not include your private documents, account details, notes or reminders. Energy information is provided to help users understand building energy performance; it is not used for unsolicited marketing.

Source responses are cached with an expiry and results display source dates. We retain request records to prevent duplicate work and diagnose failures. For abuse prevention, we use a signed browser identifier and hashed network identifiers with short-lived quota records. Google reCAPTCHA is used to verify requests; its privacy policy and terms apply. Preview emails and optional marketing

If you request a preview email, we use your email address to send the saved page link through Brevo. Receiving a preview does not subscribe you to marketing. An optional, unticked choice lets you request DocuHome product updates, property tips and offers; you must confirm your email before that subscription becomes active. We record your consent wording, version and dates. We do not use EPC information to select marketing recipients.

Preview request records and unconfirmed contact records are scheduled for deletion after 30 days; confirmation links expire after seven days. Delivery audit records are retained for operational troubleshooting. Confirmed consent and unsubscribe records are kept to manage your preferences and prevent unwanted marketing. Use the unsubscribe link in the email or contact us to withdraw consent. Withdrawing marketing consent does not stop emails you explicitly request.

Support and workspace emails

Contact enquiries are saved in our restricted support inbox. We send an acknowledgement to the email you provide and notify our configured support team through Brevo. Human verification and short-lived, hashed browser/network quotas help prevent abuse. Enquiries do not subscribe you to marketing.

Buyer-workspace activity emails require your explicit opt-in. We check your current verified account email and workspace access before sending a generic link, without including private note content. Turn these emails off in notification settings. Pending delivery and quota records expire automatically; support messages and operational delivery audits remain available for handling enquiries and troubleshooting.

Sharing & third parties

We share data only with service providers that help us run DocuHome (hosting, analytics, support). You can invite collaborators; anything you share with them is visible as permitted by your access controls. We do not sell your data.

Data location & security

• Data is stored in reputable cloud providers with encryption in transit and at rest.
• Access is role-based and logged; admin access is limited and audited.
• Backups and disaster recovery are maintained to protect availability.

Retention

We retain your content while your account is active. If you delete content or close your account, we remove it from production systems and backups per our retention schedules, unless law requires otherwise.

Depending on your location, you may have rights to access, correct, delete, or export your data, and to object or restrict certain processing. Contact us to exercise these rights.
